Sharing Isn’t Always Caring, Private Information Should be Protected

Sharing and storing digital files is an everyday occurrence for many businesses. Because they are such a daily part of work, it’s easy to neglect the importance of sharing and storing your files in a secure and safe manner. It’s crucial to protect your data in shared files to prevent an unauthorized person from accessing or altering them in any way. Unsecured files leave you at risk of identity theft, financial loss, and privacy breaches, if your business data were to get into the wrong hands.  

Files can be safely stored several ways, including external hard drives, encrypted USB drives, and on the Cloud. Transferring files is equally important, as it prevents unauthorized access to files and potential modification of data while it is in transit. Ways to transfer files securely include using a Virtual Private Network (VPN), encrypting email attachments, and using secure file-sharing services.  

When sharing a file, it’s best practice to select one of these, or some other, secure methods: 

  1. Encrypting your files puts a solid protective layer over them, as they can only be de-crypted with a special key.  
  1. Make sure you always use strong passwords for access to the files. Try to avoid writing sensitive information in the email or message you’re sending.  
  1. Double-check and authenticate your recipient to keep the files from going to the wrong person.  
  1. Additionally, it’s always a good measure to send the access details separately.  

While cyber attacks are bound to happen, most successful breaches are the result of human error. Some common mistakes people make when it comes to file safety are: 

  1. Weak passwords 
  1. Not encrypting files 
  1. Sending sensitive information while using public Wi-Fi 
  1. Neglecting to update security software when patches and updates are available 
  1. Giving away the file access information in an unsecured manner or to an unauthorized person
